Competitive organisations clearly understand the relationship between operations and performance management. Their managers and executives function in dynamic business environments, where timely, accurate decisions are critical to the success and efficiency of the business. For the modern organisation, it is imperative to provide a clear picture of results and activities and to understand how each business unit, department, team and individual contributes to business success. To enable visibility and insight at every level of the organisation requires data that is as close to real-time as possible. Your role also demands that you measure success and achievements
objectively using key performance metrics that monitor operational factors like inventory levels, order volumes, shipments, sales, and order status and employee productivity.
In the business environs of yesterday, financial, sales and other data was limited to historical results and was scattered across the enterprise, so it was nearly impossible to gather, filter and analyse results in a way that was meaningful to the current business conditions or to trending or forecasting for future business planning. Early business Intelligence solutions focused on strategic planning and high-level decision-making and produced data that was designed for a static environment. When it was time to revisit the three year or five year strategy, the organisation would adapt the strategy to support what they believed to be the business conditions of the future.
In today’s dynamic, ever-changing business landscape, no organisation can survive without up-to-date, accurate information and analytical capability to support swift, dependable decisions. Operational Business Intelligence can empower executives, line managers and other business professionals and individuals within the organisation by producing a clear integrated picture and true business intelligence from a diverse set of data and systems.
To plan for the future, every organisation must first understand what is happening today and what happened in the past. Using historical and current data can provide a powerful, clear perspective of achievements, sales, competitive results and product and service strategies and how closely the actual results compared to the plan. However, if the organisation has access to timely, dependable information it can stay on track and adapt to change as required, so managers and team members are no longer looking over their shoulder, trying to correct problems that have existed for weeks, months or even years.

“Over the past two years I have noticed a growing problem with inventory. In our company, there are a number of people who can order stock and many times we order unnecessary inventory because we are not looking at existing stock levels of a particular item. Other times we find ourselves short on inventory because we did not anticipate a seasonal upsurge in sales or we did not know about sales projections for a particular product”
Robert Kincaid, Age 37, Depot Manager, Remington Tools
Robert is a warehousing and depot manager for a large tool company. In spite of his best efforts, he has been unable to control inventory and orders to prevent over stock or under stock of products and ensure that all orders are necessary and that all team members who can order inventory are working with the same information. Robert is responsible for oversight of multiple distribution centres for this retail tool chain. Orders and inventory are based on the idea that the company must maintain an average level of stock but that average number does not take into consideration the high or low sales periods or upcoming sales projections and changes in the plan. When he does have to order stock to provide adequate inventory, he experiences inconsistent delays and delivery from his suppliers, so it is impossible for him to know when his inventory will be replenished.
In order to achieve his goals, Robert must establish a uniform, dependable data and reporting system that can provide the flexibility and analytical capability to incorporate and integrate information from a variety of enterprise systems, including sales projections, order tracking, stock levels and product information for every SKU, product category and regional demand. The business intelligence solution must also satisfy his needs now and in the future, as the company grows. Because his end-users in the retail stores and warehouse have varied technical skills and daily tasks, he must provide a system that is simple and easy to adopt, and one that will provide the flexibility to enable every user to see and manipulate data in a way that is meaningful to them.
Robert selected the Business Intelligence Tool, ElegantJ BI to satisfy the defined requirements. This solution provided simple, swift data integration and analytical capability and was easy and cost-effective to implement. As soon as the ElegantJ BI solution was in place, Robert leveraged BI analytics to analyse his minimum and maximum stock limits by multiple products and SKUs.. He was able to integrate this data with current sales projections and historical stock ordering and delivery data to gain a clear perspective and a complete picture. This information enables him to project when inventory must be ordered and how long it will take to get to a particular warehouse, as well as when a seasonal or promotional sales increase must be satisfied with additional inventory. If a particular retail store is planning a promotion, the manager of that store can quickly ascertain the inventory levels in the warehouse in his region and determine whether he has to place another order and how long the inventory will take to reach the warehouse and be available for distribution to the retail store location.
Robert created critical alerts to automatically notify him of projected shortages, and monitor orders and stock levels so that he can address issues as they arise. If a particular item or product SKU reaches a critical inventory level Robert receives an alert via email to let him know that a predetermined limit or threshold has been crossed. He can take prompt action to analyse the details and order or purchase stock accordingly.

"ElegantJ Business Intelligence played a pivotal role helping my team tap into the huge amount of timekeeping data our firm had assiduously collected over several years, but which we had extracted very little value from. We realised that with ElegantJ BI we could gain an insight into our business performance and trends which we were then able to present to Management in a digestible form. As a direct result of our analysis using ElegantJ BI we were able to ensure that scarce resources were ring-fenced for critical operations whilst also freeing up resource from other areas to improve productivity and allocate costs more accurately across our operations. ElegantJ BI proved an excellent partner, listening to and taking our feedback on-board, then delivering changes and improvements to the product."
